8 Tips for a Successful Exhibition in India

Exhibitions and expos are growing in popularity as more and more businesses experience the advantages of participation. An exhibition is an ideal platform to promote products and services. It gives manufacturers/suppliers an opportunity to engage with clients and prospects face-to-face. It’s an arena to build brand and develop customer base. It works as a test market for new innovations, and as a forum for networking and studying the market.
8 Tips for a Successful Exhibition in India
8 Tips for a Successful Exhibition in India
Exhibitions and trade shows is a fast-growing industry worldwide, with Germany leading with two-thirds of the global market share. In India, there are over 700 major trade shows being organised every year, generating business of Rs.65,000 Cr.
Through the year, in cities and towns across the country, there are trade shows and industry expos being held. However, participation in a trade show can be expensive. So if you want results, and good return on investment from your exhibition in India, we have some tips to help you pave the way to success.
Tip 1: Select the relevant trade show
There are different trade shows for different industries. Pick the appropriate one for your business. Research the show, check how reputed it is, which companies participated and how many visitors attended in the previous year, analyse whether your TG will be attracted or not, etc. This background study will help you decide if a particular exhibition is right for your company.
Tip 2: Appoint a creative exhibition stand designer
The look and design of your stall is critical to attract eyeballs and footfalls. Your competitors will be at the show too, so your exhibition stall design should stand out in the crowd. Plan the layout in a way that facilitates circulation of booth traffic; ensure the trade fair booth design represents your brand appropriately; use creative gimmicks, interesting colours, materials and lighting to attract attention. Hire an experienced expo stand design agency that will create and execute a bespoke exhibition stand that enhances brand value and draws more visitors – in the city or cities required.
Tip 3: Keep collateral ready and handy
Plan all the marketing collateral you need for the show. Business cards, brochures, promotional leaflets, branded giveaways, etc. should all be designed and printed in sufficient quantity for the show. If your product and trade show TG warrant vernacular communication, have your leaflets translated and printed in the relevant language to improve reach.
Tip 4: Make bookings in time
Whether it is registration and stall booking or travel plans to the city of the trade show, it makes sense to do it early. The best spots, the closest hotels, air or train tickets – all such bookings should be made in advance for best results and maximum savings.
Tip 5: Appoint & train staff
A trade show is the most interactive marketing tool. It’s a platform to meet and communicate with potential and existing customers face to face. So naturally, your stall staff should be the best. Cordial and hospitable, knowledgeable and convincing – your staff should be well trained for the trade show. They must be fully aware of the company’s exhibition strategy, the products on display. Train them in advance; practice typical questions and answers with them. Explain dos and don’ts. They should be able to obtain information that facilitates lead generation and follow-up.
Tip 6: Gather & annotate leads
Gathering leads is one of the main objectives of a trade show booth, so make sure you gather as many as you can. When interacting or handing out leaflets or gifts, get the visitor’s business card. Based on your reading of the visitor, make notes on the card or a separate diary, about special points you may have discussed, any follow-up plan you may think of, additional information promised, etc. This will come in handy after the trade show as reference for communication.
Tip 7: Create pre-event buzz
Trade shows are a big investment. It pays to create a buzz around your participation to draw the right people to your trade show stall. Think digital. Send emailers and messages to existing clients inviting them to the upcoming exhibition. Create ads or banners on your website and social media sites. Set up meetings with attendees at your booth, days prior to the show. Pre-event marketing can help ensure a great turnout for your exhibition stand!
Tip 8: Start early
Planning and preparation is imperative for a successful exhibition stall. Whether working with an agency to design a custom-built exhibition stand, printing marketing collateral, executing the pre-event marketing plan, preparing for the particular location – the earlier you start, the better the outcome. Even finding out more about the location of the trade show, facilities available in the area, timelines and deadlines, distances, cultural aspects, etc. – can help you be better organized so you minimize problems and errors at the show.
Whether you are using the show to unveil a new product, simply draw attention to your brand and business, or you are trying to network for business partners, vendors and new customers, keep these tips in mind, and you’re sure to achieve your goals and have a successful trade show.

5 Reasons to Hire a Good Exhibition Stall Design Agency

Good Exhibition Stall Design

Exhibition Stall Design
Exhibition Stall Design

Whether you are a seasoned exhibitor or a first-time exhibitor, the importance of a good exhibition stand cannot be over emphasized. Your trade show booth presents your brand at the show. It is a powerful marketing platform, and a golden opportunity to attract potential customers for a face-to-face interaction.

Indeed, there are many reasons why hiring a good exhibition stand design & build company makes sound business sense. Let's discuss 5 of these reasons.

1. Protect your investment

Trade shows are expensive. Right from the rent for the stall space to the cost of the exhibition stand design & fabrication; cost of marketing collateral, giveaways, etc.; travel expenses for the team; and other allied expenses - an exhibition stand is a big investment. A skilled exhibition stall designer will ensure creative exhibition design services and timely execution so your stall works to achieve your exhibition goals.

2. Build your brand

A capable exhibition stall designer also understands branding and brand building. A skilled exhibition stall design company will take the time to find out your exhibition goals, understand your brand and values, and design a stall that is not merely eye-catching but is also a canvas for your brand image. Bespoke stall design, creative panels and trendy elements may be used but the corporate identity, brand story and tone of voice will be carefully incorporated to enhance brand image.

3. Deliver turnkey service

There's a lot involved in making a successful exhibition stall. An experienced, reputed exhibition stand design company will cover every aspect end-to-end. From 3D design and fabrication to transportation, stall assembly and finally, dismantling, an established exhibition stand design company will handle it all with its in-house team or network of designers, transporters, contractors, etc. Such a turnkey, all-inclusive package will take the weight off your shoulders and leave you free for other tasks.

4. Ensure timely installation

A reputed exhibition stall design agency will understand the crucial importance of quality finish and timely installation. Timely, efficient service will ensure there is no hastily done sub-quality work or unfinished work that could cause accidents or damage your brand image. A good exhibition stand design company will also be on call, readily available to provide prompt assistance whenever required.

5. Exclusive design ideas

Trade shows and expos are getting bigger and bigger. The number of participating exhibitors keeps growing. Nowadays, space is often demarcated into pavilions or zones for specific industries, which only means you're surrounded by more competition.

In such a scenario, you need a stall that can stand out, draw attention and attract footfalls.

A creative exhibition booth design company will come up with original designs and exclusive ideas to promote your stand. With creative use of materials, lighting, messaging, graphic design and effective branding, your booth will have compelling impact.

Conclusion

All these reason should lead you to SEED for your next exhibition stall design. How to prepare for an international exhibition

With growing globalisation, participating in international trade shows is a great way to showcase your products/services and increase your brand's awareness. It is also a good way to network and learn what is going on in the industry. International exhibitions are useful to develop an export market, gain access to both partners and potential customers.

International Exhibition Stall Designs
International Exhibition Stall Designs
There are many points to consider and remember. We have tried to put down the most important ones under 6 different headings.

Know the expo
  • Do thorough research before you choose the expo that's right for your company and business objectives?
  • Every trade show has its own rules & regulations. Do a detailed study of the organiser's manual; make note of all deadlines and dos & don’ts
  • Book early for early bird savings and to get the space & location of your choice
  • If a trade association is organising a group stand at the show, you may consider participating as a group member. It will add to your credibility and be cheaper than having your own stand.
International Stall Design
International Stall Design
Know the country
  • Find out the customs and local rules so you avoid embarrassing situations
  • Study cultural and political differences: is it ok to use first names, should one offer a business card the moment you meet, what phrases to use, should you be dressed in casuals or a business suit, etc.
  • Get an idea of prices and rates in the foreign country. It's going to be expensive for sure, so be prepared, make arrangements for finance and keep enough cash in pocket.
Think local
  • Language is usually a problem especially in European and far eastern countries. It often makes sense to hire local people as interpreters or as stand staff so they can interact effectively with visitors and communicate more efficiently.
  • It’s useful to have your sales material and display panels professional translated into the local language for better results.
Marketing matters
  • Contact the show organisers for listing in their brochure.
  • If budgets permit, place an advertisement in the show's brochure.
  • Send emailers to existing & potential clients informing them of your participation.
  • Promote your participation on your website & social media closer to the time.
  • If you’re planning to hand out samples or branded freebies, order them well in advance so you avoid last minute stress.

Personal preparation, in advance
  • Make your travel & hotel bookings early so you get the best fares & tariff. Nearer to the exhibition dates, local hotels get full and flights get really expensive.
  • Once your participation in the international trade show is confirmed, apply for your passport & visa.
  • Plan and organize your clothing. If you need to wear suits, get yours dry cleaned and ready. If it’s scheduled in winter and you need warm clothes, get them organized.
  • Organise finance: currency, prepaid credit cards, etc. Find out if the country has restrictions on the amount of cash you can carry in, and plan accordingly.
  • Pack enough business cards: you don’t want to run out of them when meeting prospective customers. Also, be sure to print your country’s name in the address so visitors know and remember where you’re from.
  • Ensure your mobile will work overseas so you're always accessible.

Conclusion

Last but not least, you need to sign on an exhibition design agency with the experience and expertise to design creative, customized exhibition stands, and the capability for flawless, timely execution in the country of your expo.

Enhance the effectiveness of your Trade Show Stand with the ‘personal’ touch

Trade shows remain one of the most popular and effective marketing tools available to B2B enterprises.  In fact, research has shown that B2B exhibitions account for more than 40% of all B2B budgets.

Eye-catching trade show booth displays

According to a report by The Center for Exhibition Industry Research (CEIR) 'Changing Environment of Exhibitions', the exhibition channel continues to prove it is an important channel for driving business. It claims that a staggering 99% of marketers believe that trade shows offer unique value, which cannot be achieved through other mediums.

So what makes trade show marketing so valuable? Why do B2B industries favour exhibitions for marketing?

The major advantage is the opportunity to meet new prospects up-close-and-personal. Trade shows offer a unique platform for relevant lead generation by casting a wider net and delivering in-person contact. Businesses get to meet prospects face-to-face and to personally demonstrate and communicate the company’s offerings. Exhibitions allow companies to engage in meaningful two-way dialogue, where both the prospect and the company can exchange contact information, discuss requirements, and compare solutions – one-on-one. Businesses can also properly gauge the value of the leads, and by qualifying strong leads, shorten the sales cycle.

There is something intensely trust building in shaking someone’s hand and looking them in the eye. Knowing that there are actual humans behind all the technology & stats is innately reassuring. This type of connection cannot be recreated digitally, or with even the most compelling advertising. Because of the personal nature of face-to-face interaction at expo booths, connections established here often yield fruitful results.

There are some tips to enhance the ‘personal’ touch at your exhibition stall. While creating a bespoke exhibition stand design goes a long way, the ‘human interaction’ can be augmented by:

  1. Sending out personalized invites on social media or by email.
  2. Appointing well-trained staff to interact with visitors – people who are pleasant mannered, cordial and informative, able to engage with prospects with sound knowledge of your products and brand.
  3. SWAG or giveaways that are attractive and of value to visitors.
  4. Informal lounge areas where prospects can sit and chat in comfort. A cup of coffee with the discussion would certainly help – considering how large most trade shows are; visitors are usually tired and thirsty!.
  5. Posting a thank you note to visitors – telling them how much you enjoyed meeting them, and inviting them to your office or offering the next Call-To-Action for taking the lead forward.

SEED (Strategic Exhibition & Environment Display) is a leading exhibition design company that offers creative, timely and hassle-free Exhibition Design solutions - from concept to commissioning. HOW TO BE THE TALK OF THE TRADE SHOW

Although a creative and compelling exhibition stall design is vital for a successful trade show stand, there are many other factors that can be contributing factors for your exhibition stall’s success and your ROI.

Creative Exhibition Stall Design
Creative Exhibition Stall Design
Some important tips include:

- Avoid over enthusiasm to display ALL your products. It can make the stall too crowded and bringing focus on flag ship products can be difficult.

- Ensure your stall design reflects and enhances your brand value. Eye-catching gimmicks, innovative displays, creative panels & modern technology are all warranted to attract crowds but not at the cost of compromising your brand value. Your design agency should understand and uphold your brand values in the bespoke design.

- Plan it well in advance and avoid last minute changes as it hampers your stall construction and adversely affects the finish.

- Content creation is the most important part of your stall display and the hook to attract your customers. Sometimes exhibition stall design agencies get carried away with design of the stall and forget that content creation is the most compelling and meaningful part of the stall design.

- Finding an agency that is prompt in service and very vigilant is important. A successful trade show booth needs detailed planning, painstaking coordination & supervision, and meticulous attention to detail – to avoid snags and ensure flawless execution of the stand design.

For a trade show stall that becomes the talk of the show, trust SEED (Smart Exhibition & Environment Display).  With over 25 years of real-world experience in creative exhibition stall design, we have the insights and skills for effective exhibition stall design and build.

Designing A Striking Business Exhibition Stall

There are a number of trade shows and exhibitions held each year with a numerous attractive expo booth designs with innovative ideas to attract visitors. Thus, when you participate in an expo, the first and most important thing to consider is the design of your booth!

The look, style and design of your expo display must properly reflect the image and message of your organization. Other important things you must consider while designing the perfect expo booth design are, colors or color combination, space for the stall, graphics, text and messages to be displayed and so on. All of these important aspects must be given time to make sure that your final exhibition stall design represents your organization well!

Space Utilization
One of the most important factors to be considered is the trade show booth space. Analyze the space allotted for your business exhibition stall and finalize the expo booth design accordingly. Also, ensure that the expo booth design you select, utilizes the space properly.

Consider Your Target Customers
When you design your business exhibition stall, ensure that you take into consideration the preferences of your target customers. Having a user friendly and attractive expo booth design is important in order to turn your exhibition stall visitors into potential customers!

Use of Effective Graphics
The most important graphic you can use, and which confirms your brand identity, is your company logo! The other text, images and graphics used for display should be appropriate and visible. Proper use of effective graphics helps a lot to attract visitors. The appropriate designs, graphics and texts at your business exhibition stall will define and reflect the message you want to communicate.

Enough Lighting

Not having enough and proper lighting has a number of disadvantages; for example, even if you have an effective expo booth design, lack of lighting can create dull and gloomy ambiance! Tips On Getting The Most From Your Exhibition Stall Design

Once you’ve decided to participate in an exhibition or trade fair and you’ve hired a reliable exhibition stall designer to help you make your presence felt, there are some things you can do to maximize the return on your investment.

A seasoned exhibition stall designer will take the trouble to understand your company, its values and culture as well as the purpose of participating in that particular exhibition or trade fair, before coming up with suitable and creative stand designs. These professionals will also study the space available and the logistics, like angles and lighting, before suggesting an appropriate expobooth design or trade show display ideas that will allow you to fully utilize the space and logistics available to you.

But what can you, as company hiring an exhibition stall designer, do to make the most of your exhibition stall design? Here are some tips (from a professional exhibition stall designer) that might help you get the most from your exhibition stall design.

Tip #1
If possible, conduct a dry run of the assembly of the exhibition stand or booth. (This will not be required if you commission your exhibition stall designer to handle the assembly and dismantling.)

In case your team is going to manage the assembly and dismantling on their own, it is a good idea to construct the stand or booth and put up the artwork at the office premises; especially if this is the first time you are using this particular exhibition stall design. This will give the team a chance to understand the design and the complexity of the stand or booth. It will also help them know how long assembly and dismantling will take and how many people will be required. Additionally, it will give them practice and confidence to set up on the final day, knowing the tips and tricks, like which parts to place first, etc. This will save time and energy (and also avoid arguments) on the day of the event.

Tip #2
Ensure all the “extras”, like lighting and electrical points, are made available before the actual event.

Someone from your team or your exhibition stall designer needs to check the venue for logistics because it may not be possible to fix things like unavailability of sufficient lighting or plug points, on the actual day of the exhibition. All the “extras”, in terms of cables, wires, extension boards, etc, should be procured and kept ready before the final day.

This is even more important if your exhibition stall design involves audio or video, lack of which would bring down the whole show.

Tip #3
Make sure all your promotional items, like handouts, leaflets and especially giveaways, are ready well in advance, because there is nothing more embarrassing, in the exhibition context, than a customer pointing at a sign that says, “free t-shirt” and you having to apologize for not having any.
If you plan to invest in freebees or giveaways, you or your exhibition stall designer should ideally check with the organizers of the exhibition if there are any things that are not allowed to be distributed at that particular exhibition or venue.

Tip #4
Brief the team, who will be manning your stall or kiosk. Aside from knowing what to say and how to interact with potential customers, they should be briefed about the general rules of decorum for representing your company at an exhibition or trade show.

For instance, you should make them aware that overstepping the space assigned to you or making too much noise will attract the wrong kind of attention, especially from the organizers.

Tip #5
Remember to have fun. No customer wants to approach someone who looks glum or too busy.

Your representatives should look like they are enjoying themselves and happy to interact with customers; not looking bored or busy doing something else.

Hence, to get the most of your exhibition stall design you need to plan, check and re-check every aspect of your stall or booth design, including the representatives manning the stall or booth.

Getting The Right Attention At Exhibitions

Exhibitions and trade shows provide a great platform for businesses to showcase themselves, their products and their services. They allow for mass communication and direct interaction with the target audience. But the potential customer noticing your presence at an exhibition of a thousand plus participants simply isn’t enough. Seeing your stall should peak his interest enough to want to approach the stall and explore your display or interact with the personnel manning the stall. And all you have is ten seconds to make it happen!

This isn't an impossible task if you have professional help. Exhibition Stall Designers can help you stand out at exhibitions and trade fairs, without seeming desperate for attention.

Screaming or Begging for Attention

Loud colours, cluttered displays and scantily clad representatives reflect badly on your brand. It’s actually quite a turnoff- like a spoilt child, screaming and wailing for attention –nobody takes it seriously. Such tactics may grab attention initially, but do not arouse enough curiosity to make the viewer approach the stall. In short, this kind of attention is useless, if not detrimental, to your brand.

Imagine walking by an overly embellished stall at a trade fair, with props and decorations falling all over the place. You would probably ignore it and walk on by or feel sorry for the business for having to go this far for a little attention. Exhibition Stall Designers know that this isn't the kind of attention that will prove beneficial to your brand or your sales.

What works

Good exhibition stall design is one that acts as a resource, allowing your audience to interact with you instantly; One that makes your audience want to interact with you instantly.

Obviously, there are no golden rules or secret formulae that Exhibition Stall Designers use while creating exhibition stand designs. These professionals study the location, such as outdoor or indoor exhibition, space, lighting and your target audience before planning and crafting a suitable design that will help you utilize the space in the most efficient manner, allowing for maximum possible interaction with your potential customers.

However, making full use of the given space is the least of your worries. You also have to ensure that the exhibition stall design or exhibition booth design is unique and intriguing, as well as embodies your brand and the product or service you are offering.

Depending on the nature of your business, an experienced Exhibition Stall Designer should be able to come up with at least 5 novel and feasible exhibition stall designs. Though, there is no end how creative you can get with exhibition stalls and booths, you must remember that all the panels, display items, and flyers as well as representatives should look and act in accordance with your brand guidelines and company values.

Good practices

While selecting an exhibition stall design, avoid getting too carried away with display ideas that are too colorful or too complex – so much so that they take the focus off your brand and product or service.
Interactive activities are great fun at exhibitions and trade fairs – as long as they serve their purpose of connecting the customer to the brand.

To recognize good exhibition stall design, ask yourself a few questions –
Is it making full use of my company logo?
Are the colours, visuals, activities and representatives in accordance with my brand?
Is all the information on the display attractive and legible?
Are all the images/photographs appropriate?
Is the design suitable for the location, space and lighting?

Insider Tip

What looks good on the screen or paper may not be the same in reality. Ask your Exhibition Stall Designer about the feasibility of the proposed stall or booth design. You may need to make sure that all your displays are tried and tested in actual settings before finalizing the ideas.
